Nihon Lock Service Co., Ltd. (hereinafter referred to as “We”) continues the manufacture, sale, and maintenance of security products, especially lock mechanisms. In addition to maintaining the safety and security of our customers, we also wish to promote convenience and comfort. We also uphold the business of crime prevention as a contributor to society. Personal information which is passed on to us by various sources such as our associated companies and customers, we consider to be extremely important. We acknowledge our responsibility within society appropriately manage the protection of this information as follows:

   • Submit of the personal numbers of employees, prospective employees, outside experts, shareholders, etc. to administrative agencies, health insurance unions, etc. by including them in documents such as withholding tax slips for salary income, payment records, notification of qualification for health insurance and employee pension insurance, etc., in accordance with the laws and regulations.

We will comply with relevant laws and guidelines and will take necessary and appropriate measures to prevent leakage, loss or tampering of personal information, and to safely manage personal information as follows (hereinafter referred to as “security control measures”).

   To ensure the proper handling of personal information, we have established basic policies as stated in "Privacy Policy"
2. (2)To establish Discipline for handling of personal information
   We have established internal regulations to handle methods of personal data, responsible parties and persons in charge and their duties, etc.
3. (3)Organizational security control measures
   We have appointed a "Personal Information Protection Manager" as a responsible person for handling personal information in our organizational structure, and have established a personal information protection management system and have controlled the personal information internally.
   In addition, we have a system to ensure that employees comply with internal regulations regarding security control measures, and to report and notify the "Personal Information Protection Manager" and other responsible personnel if they become aware of any fact or indication that an employee is in violation of the law or internal regulations.
   Furthermore, when it comes to outsourcing operations that handle personal information, we strictly supervise and monitor the subcontractors to ensure that the security control measures regarding personal information are strictly maintained.
4. (4)Personnel security control measures
   Our company regularly provides education and training to learn about the proper handling of personal information to our employees.
5. (5)Physical and technical security control measures
   In areas where personal information are handled, we control the access of employees and third parties, and take measures to prevent theft, such as locking and storing documents, media, and equipment that contain personal information.
   In addition, we control access to personal information and information systems that handle personal information, takes measures against computer viruses and unauthorized software, and monitors information systems.
6. (6)Understanding of external environments
   Some of the personal data we handle are stored on servers located overseas.

(3)Fee for requests for disclosure

We charge a fee for any request to disclose or notify purposes of utilization. Fee for each request is 1,000 JPY. Please enclose 1,000 JPY worth of postage stamps with the documents for submission.
In cases which the fee is insufficient or which the fee is not enclosed with the documents for submission, we shall notify the person making the request to that effect. If the payment is not made within a certain period of time, we shall deem that no request for disclosure or notification of purposes of utilization has been made.

(4)Method of responding to requests for disclosure, etc.

1. (1) For requesting notification of the purpose of use, any disclosure of retained personal data or disclosure of records of provision to third parties, we will reply using the method selected by the applicant on the “request form” in section (2) in principal. (However, if it is difficult to respond by the selected method, we will reply by sending documents by post.)
2. (2) For requesting correction, supplementation, deletion, cessation of use or cessation of provision to third parties, we will notify you by phone or e-mail that we have taken necessary actions.

(5)Cases in which Nihon Lock Service cannot respond to requests for disclosure

In the following cases, we shall not be able to comply with requests for disclosure of personal information. We appreciate your understanding in these cases.

1. (1)In case of which there is a deficiency in the documents which you have submitted.
2. (2)In case of which the principal's identity cannot be confirmed.
3. (3)In case of which the agent’s identity cannot be confirmed when requests for disclosure are made by your agent.
4. (4)In case of which the personal information on the documents submitted does not match with what we are holding.
5. (5)In case of which disclosure would constitute a violation of law or another regulation.
